Editors Convert Only When The Language Already Works

Municipal notices, school letters, and clinic leaflets that already read in the working language do not need a second language layered on top. They need an editable page a copy editor can quote. Adding translation invents wording the original stamp never carried. A desk that opens a scanned document editor should reach for Convert Only when the scan is already in English or the local working language.

Copy desks quote stamps. Translators change language. Convert & Translate is a different ticket. Mixing the two tickets is how a newsroom quotes a sentence nobody stamped. The reader who phones the clinic will read the leaflet, not the cousin sentence the machine added.

The Editor Path Stops At An Editable Page

A scanned municipal tariff, a school fee table, or a clinic hours leaflet arrives as a picture. The copy editor does not need a new language. The copy editor needs to lift one cell without retyping the row by hand and then discovering the number moved.

Convert Only is that path. Upload the scan. Keep the working language. Download a file that can be edited as Word, searched as PDF, or shared as a page. The test protocol on our desk is one cell, written down before upload. After download, that cell must still be quotable beside the original.

A clinic hours leaflet is the clean case. The English is already there. The editor needs Tuesday’s closing time, not a rewritten paragraph about “operating flexibility.” If Convert & Translate runs on that leaflet, the hours can drift into softer language. The reader who arrives after close will blame the paper. That is why the mode is chosen before anyone likes the look of the page.

School fee tables work the same way. The grade, the term, and the rand amount have to stay in the same row. A searchable PDF helps the next editor find the row. What Translation Adds That Editors Do Not Need

Convert & Translate is for a foreign scan that the desk cannot yet read. A tariff already printed in English does not belong on that path. Extra translation creates a cousin sentence. The cousin sentence then gets quoted. The original leaflet never said it.

Use The Trial Pages On The Witness Cell

Do not spend the two trial pages on a random cover. Spend them on the page that holds the number the story needs. If the witness cell fails, the rest of the packet waits. That single discard is cheaper than a correction after publication. A wasted hour spent retyping the whole table after a bad pass is the usual tax for skipping that check.

Do Not Quote Handwriting From The Machine Text

A handwritten margin note can be seen. It cannot be trusted as the only quotation. If the story depends on that note, print the image. The editable page may still help with the printed table next to it. It does not turn a scrawl into a citable line.

Leave Sworn Packets Off This Desk

A filing that wants a named translator never enters Convert Only or Convert & Translate. Those pages go to a human with the original. The newsroom path is for notices the paper can already read. A birth extract, an affidavit, or a letter that will be shown to a clerk is not a leaflet. Putting it through Convert Only only creates a tidy page the paper still cannot defend.

Live captions and same-hour speech jobs are also off this path. A scan of a notice is a still page. A hearing that is still happening is not a still page. Do not pretend an editable export can keep up with a room. The copy desk waits for the stamped leaflet, then runs Convert Only on that leaflet, then quotes the witness cell.

How A Copy Desk Runs One Leaflet

The steps stay short so the next intern can repeat them without a meeting.

1. Confirm the scan is already in the working language.
2. Write down one witness cell.
3. Run Convert Only.
4. Open the output beside the scan and find that cell.
5. If the cell holds, quote from the editable page and keep the scan in the story folder.

If step 1 fails, stop. That leaflet is a translation job, not an editor job. Sending it down Convert Only and then rewriting the language by hand is rework. A scanned document editor still helps later, after someone can read the page. It does not skip the language check.

What The Story Folder Should Hold

The folder needs three things: the original scan, the Convert Only file, and the witness cell written on the story slate. If a later editor cannot find those three, the quote is gone. Scanned.to is only the middle file. The first and third stay human. A later shift that cannot find the scan will treat the editable page as the archive, and that is how a cousin sentence becomes the paper of record.

Print the witness cell on the slate in the same ink as the headline plan. That sounds fussy. It stops the 4 p.m. argument about which number ran. The editable page can be searched. The slate says which cell was allowed to be searched. Without both, Convert Only is just another file in a crowded folder. The next intern should be able to repeat the check without calling the person who ran it. If that intern has to guess which cell mattered, the folder failed before the story did. Guessing is how the wrong rand amount gets into print. The slate is the only list that matters.

When the leaflet is already in the working language, Convert Only is the whole move. Translation is a second desk. Keep them apart, and the paper quotes what the stamp actually showed. Scanned.to does not decide that split. The copy editor does, on the first look at the scan.
